Register of Deeds Moves Vital Records Services to Appointment Only


Durham, N.C. - Customers seeking birth certificates, death certificates, marriage certificates, notary Oaths and military discharge records offered by the Durham County Register of Deeds (ROD) Office will be required to make an appointment before visiting the office location beginning Monday, July 13, 2020. The change from walk-in services to obtain or request vital records will be implemented to increase safe distancing practices designed to protect employees and customers.



The ROD Office will schedule appointments Monday through Friday in 15-minute increments, starting at 9 a.m. Appointments will end at 4:30 p.m. Appointments will not be taken between 1:30 and 2:30 p.m.  Marriage license appointments will be offered during very specific windows of time. These appointments will be scheduled between 9 - 10:30 a.m., and 3 - 3:30 p.m. Customers who arrive without an appointment will be able to access a packet at the security desk, located on the first floor, that will include an application for a certified copy of a document, instructions on completion, required identification, applicable fees, the phone number to call for appointments, and instructions on how to access and submit requests online. Customers should note that all fees paid via credit card in the online portal will be processed by the ROD Office third-party vendor Permitium. Additionally, online customers should be prepared to upload a State issued identification or driver license when making requests. There will be an instruction packet for customers desiring to obtain a marriage license.


The appointment requirement also applies to funeral homes requesting certified death certificates. Faxed requests will typically be processed within three hours and online requests will be typically processed within 48 hours, Monday through Friday, with the exception of holidays. Once the request is complete, a representative from the DCo ROD Office will call the funeral home to indicate the document is ready for pick up. Upon arrival, the funeral home representative should take a pink ticket labeled "funeral home pick up only." The retrieved ticket should be taken to the Vital Records Office located on the second floor of Durham County Administration Building II, 201 E. Main Street. Funeral Homes without an escrow will have to schedule an appointment for service within the daily appointments available.


ROD customers are reminded that passport issuance has been suspended due to the requirements of social distancing.
